In order to receive access to funding and space on campus, a certain number of executive board members from each recognized student group advised by Undergraduate Student Life or General Studies Student Life must complete the requirements outlined below. Please note that there are some new, updated requirements for the Fall 2026 semester, and all Club Refuel processes and tracking will take place through the LionHub student platform.
The deadline to complete all requirements for the Fall 2026 semester is Sunday, October 11th, 2026.
Student Organization Survey (SOS)
The Student Organization Survey (SOS), or Group Re-Registration Form, is our yearly reregistration form where your group shares important information about your membership and operations. One member of your e-board must complete the SOS to initiate the Club Refuel process.
Filling out the SOS is the first step your group must complete during the Club Refuel process; by doing so, all four e-board members will be added to your group's LionHub page, and assigned all Club Refuel requirements. Those e-board members will be approved as officers only once all Club Refuel requirements have been completed. In order to gain access to your group's LionHub page, request to "Join" and your adviser can provide approval.
Event Host Certification Quiz
Four e-board members must complete the Event Host Certification Quiz, which is designed to test your knowledge about space reservations, Student Events/CEM policies, and cover frequently asked questions you may have about student event planning to prepare you for the year.
The Event Host Certification Quiz must be taken and passed by the four e-board members submitted in the SOS, as well as any other board members who will be using your group's EMS account.
Finance Training
Two e-board members may be granted finance access (receive the Finance Badge) on your group's LionHub page and will be able to submit Purchase Requests and co-sponsorship requests through LionHub. In order to receive the Finance Badge, those two e-board members must be specifically assigned the Finance Training by your group's adviser. This training can then be completed through LionHub directly. Please email your adviser for access.
The Finance Training must be taken and passed by the two of the four members submitted in the SOS.
Enough is Enough Training
Enough is Enough is a training mandated by New York State law, which provides student leaders with relevant information and resources associated with domestic violence, dating violence, sexual assault, and stalking, including bystander intervention practices and reporting mechanisms. While in leadership positions, students may need to support members who are in distress related to one of the topics above. During the session, student leaders will learn about the nuances of stalking and how it intersects with intimate partner violence and sexual assault, as well as how the trauma of stalking may present in different individuals. Student leaders will also learn strategies for connecting members who may be experiencing distress or stalking to appropriate resources and identify strategies for taking care of themselves through this process.
The four members submitted in the SOS, including President and Treasurer (or equivalents), must attend an Enough is Enough session. Sessions will be offered both in-person and virtually and will be facilitated by Sexual Violence Response and the Title IX office.

Office of Institutional Equity (OIE): Columbia University's Anti-Discrimination and Discriminatory Harassment Policy and Student Organizations
Student organization leaders play an important role in fostering environments that are consistent with University policy. This training will explore how the OIE Policy relates to Recognized Student Groups.
Two members of your e-board who were submitted through the SOS must complete this OIE training.

Who's Really Invited? Planning Inclusive Events
Touching on accessibility concerns, lifestyle considerations, and religious and/or cultural awareness, this session gives a brief overview of how to evaluate the inclusivity of your group’s activities on multiple levels. Through discussing frameworks and hypothetical scenarios, participants will consider how to prioritize creating welcoming environments in every aspect of programming. Tools and resources will be provided for use in future planning.
Two members of your e-board must complete this Inclusive Events training. Of the two members who attend, one must be the group President (or equivalent), while the other can be any one of the four members submitted in the SOS.

Adviser Meeting
The Adviser Meeting is a space for introductions, setting expectations, ensuring access to resources, and discussing the semester ahead.
The four members submitted in the SOS, including President and Treasurer (or equivalents) must meet with your adviser. Please fill out the SOS prior to your Adviser Meeting.
Only schedule at a time that everyone can meet together.
Adviser Meetings will begin starting on Tuesday, September 8th, 2026.
The last day for Adviser Meetings will be Friday, October 9th, 2026.
Outcomes for Incomplete Requirements
Student groups that have not completed all requirements on or before Sunday, October 11th, 2026 will face the following outcomes:
Non-completion of the following requirements will be lead to student group probation:
- Enough is Enough Training
- OIE Training
- Planning Inclusive Events Training
- Adviser Meeting
Non-completion of the following requirements will lead to these specific outcomes:
- Non-completion of the Event Host Certification Quiz will lead to EMS account freeze until your group reaches compliance.
- Non-completion of the Finance Training will lead to your group not receiving the Finance Badge or access to your group's funding until your group reaches compliance.
Probation will lead to the following:
- LionHub Finance Badge will not be granted, or will be revoked, until the group is off probation.
- Existing space reservations will be canceled, and future space reservations cannot be made, until the group is off probation.
Groups already on probation who do not complete Club Refuel during the Fall 2026 semester will be derecognized.
